Exhibitor Information

All of the following information is available in pdf or doc.

U-Con is held in the historic Michigan Union on the campus of the University of Michigan in Ann Arbor, Michigan. The Union has convenient dining located downstairs. The Exhibitors Hall itself is set up in the spacious and functional Ballroom, which is located right next to the operations room for the convention. U-Con has attendance from almost every age group, and from many locales, including some from as far away as California, England, and even Germany. Last year we had over 600 attendees, and we expect more this year!

Exhibitors' Hall Hours

Friday, November 9th from 5:30 pm to 8:00 pm.
Saturday, November 10th from 10:00 am - 8:00 pm.
Sunday, November 11th from 10:00 am - 5:00.

Set-up times are available on Friday from 1:30 pm until 9:30 pm. A U-Con staff person will also be on site to let you in on Friday at 1:30 PM and on Saturday and Sunday at 7:00 AM. Only U-Con staff, Michigan Union staff, other exhibitors, and their staff will be allowed into the Exhibitors Hall during these set up hours, and during the off hours. Set-up will be allowed while the Exhibitors Hall is open, but security will be the individual exhibitors' responsibility.

There are several pushcarts available for loading and unloading, but they are under heavy demand by all the exhibitors, so you may wish to bring your own hand truck.

Only U-Con staff, Michigan Union staff, other exhibitors, and their staff will be allowed into the Exhibitors Hall during these set up hours, and during the off hours. Set-up will be allowed while the exhibitor's hall is open, but security will be the individual exhibitors' responsibility.

Cost of Tables

Table rates are $65 for a standard 6' x 6' space with a 6' x 3' table (optional in case you wish to bring your own display racks). You may request a location and suggest a configuration for your tables within the Exhibitors Hall by returning the Exhibitors Hall floor plan with your suggestion and we will make every effort to accommodate your wishes, but U-Con's Exhibitors Hall Coordinator will have the final say on the placement of all tables. Tables in addition to your original request may be purchased during the convention, so long as there is space. If you require electricity for your table or other special accommodations, please note this on your reservation form. Unfortunately, telephone lines or computer Internet access are not available.

Exhibitors who purchase more than 6 tables receive a 10% discount on all tables.

Payment

A 50% nonrefundable deposit is due immediately at the time of reservation. Payment may be made via a check made payable to U-Con and sent to the Exhibitors Hall Coordinator, whose contact information is listed below. The balance will be due by the close of business on the Saturday evening of the convention (between 5:00 pm and 6:00 pm). You may contact the Exhibitors Hall Coordinator to arrange for special accommodations.

Although U-Con greatly appreciates prize support and event sponsorship from our exhibitors, we cannot accept merchandise in lieu of payment for tables.

Once the 50% non-refundable deposit is received, your company's name (and link to your website) will be posted on the U-Con website and placed into the rotating advertising banner as a company who is officially attending.

Advertising in Print

The Con Books are handed out directly at the convention. There is no more effective way to get your message directly into the hands of your potential customers.

Full Page ad: $80 5" wide x 7.5" tall
1/2 Page ad: $50 5" wide x 3.125" tall
1/4 Page ad: $30 2.125" wide x 3.125" tall

For all sizes, the resolution is 300 dpi. Please make sure the advertisement looks good at that resolution. Please contact registration@ucon-gaming.org to inquire about advertising space.

Online Rotating Banner Advertising

We are glad to have the support of companies who attend and who donate prizes and sponsor events. Thus, we will give a FREE banner-ad to any exhibitor once we receive a deposit for a table or anyone who sends us a donation of $25 or more in prize support (including event sponsors).

Send us a PNG, JPG, or GIF image of 150 by 90 pixels (8Kb or less) and a link and we will place it in the rotation. The earlier we receive your banner ad, the more people will see it!

Gift Certificates

We love and appreciate all sizes of donations, but we cannot accept them in lieu of payment. We recommend that you select prizes valued at $10-20 for our prize box. If you like, you may label them as having been donated by your company (maybe with business cards) or provide a small sign (8 1/2 x 11). If you have a higher value prize in mind, you might consider offering it as a prize for a 'sponsored event.' In that case, we will put the name of your company right in the event description for that particular event. Of course, the prize should be appropriate to the event but we can try to match you to an appropriate event or request that type of event via our website.
